E. Paid Sick Leave or PTO used during the final two week notice period must be reviewed and approved by the Department Director. Documentation may be required. Retirees may use leave benefits during the final two weeks of employment. 6.0 PROCEDURES 6.1 Exempt and non-exempt employees may use PTO – Annual Leave by submitting a request for PTO through the City’s time-keeping system. 6.2 The supervisor receives the leave request in the City’s time-keeping system, reviews operational schedules, previously approved absences and other applicable information to determine whether or not to grant the Annual Leave requested by the employee. 6.3 When an employee submits a request for PTO, the City’s time-keeping system’s cascading rule will be applied to account for the PTO hours requested. This rule is applied in the following order:

A. Planned Leave Without Pay B. FLSA Compensatory Time C. Other Comp Compensatory Time D. Banked Holiday E. Annual Leave

6.4 After determining whether or not the Annual Leave can be granted, the supervisor will approve or disapprove the request through the City’s time-keeping system notifying the employee of the decision. If Annual Leave cannot be granted because of operational issues, the supervisor will
