The supervisor will review the employee’s time card and at the end of the payroll period electronically approve the timecard. Approving the timecard is an indication the supervisor agrees with the time as recorded by the employee and is an authorization to pay the employee according to recorded time. If the supervisor has any questions about the time recorded by the employee, the supervisor should discuss this with the employee and reconcile any questions prior to approving the timecard. 6.3 If the employee has worked overtime during the pay period, the supervisor will ensure the employee is compensated in accordance with this policy by one of the following: A. FLSA Compensatory Time – If it is not possible to avoid overtime by altering work schedules within the work week, then it will be City policy to compensate the affected employees whenever possible through the accumulation of FLSA Compensatory Time. B. Departments Directors must establish a policy to determine if the employees within their department will be allowed to accrue/bank FLSA Compensatory Time or be paid for all hours worked. Once an employee has exceeded the 40 hours of actual work time within a workweek, the Timekeeping and Attendance System will then convert all additional work hours above the 40 hours to the required time and one half calculation and pay according to the Department Policy on Compensatory Time. C. Paid Overtime - When overtime cannot be eliminated or controlled and the payment of overtime has been authorized, the supervisor will ensure the employee is paid overtime. 1. Benefit Eligible Employees Benefit eligible employees are paid “by exception” meaning they will be paid a salary for a given number of hours unless some action is taken to add to or deduct from their salary. The Timekeeping and Attendance System will make the calculations for any hours due in addition to the salary. 2. Non Benefit Eligible Employees The supervisor should verify all overtime hours to be paid are entered correctly on the timecard. The necessary one and one half (1½) calculations will be performed by the Timekeeping and Attendance System. 6.4 If a Department Director has authorized payment for previously accumulated FLSA Compensatory Time for an employee who is not terminating, the overtime hours paid in this fashion should be entered in the PCIS as compensatory hours used with a COMMENT entry indicating date and amount of payment. This is only completed after payment has been approved by the P&C Department. 6.5 Once the supervisor approves the timecard within the Timekeeping and Attendance System, the departmental Timekeeping and Attendance System liaison will complete the final review of
