year. This deduction will be processed as a voluntary reduction in pay on a pre-tax basis. E. When an employee who has payroll deductions for PLWOP terminates employment prior to the completion of the deductions, the remaining amount is owed to the City and will be calculated and recovered in accordance to City payroll procedures. F. Employees are responsible for verifying the PLWOP hours were awarded and payment was established by reviewing the first paycheck in January. If the pay stub appears to be inconsistent, the employee must contact the departmental P&C Rep, Business Partner or Benefits Assistant immediately for corrections. 6.2 PLWOP Use A. In order to use PLWOP, an employee must submit a PTO request in the City’s time-keeping system in advance of the leave. B. Upon receipt of the request the supervisor will review operational schedules, previously approved absences and other applicable information to determine whether or not to grant the PLWOP paid time-off requested by the employee. C. When an employee submits a request for PTO, the City’s Time-Keeping System’s Cascading Rule will be applied to account for the PTO hours requested. The rule will be applied in the following order: a) Planned Leave Without Pay b) FLSA Comp Time c) Banked Holiday Time d) Annual Leave D. After determining whether or not the PLWOP will be granted, the supervisor will notify the employee of the decision. E. When the PLWOP leave is approved, the supervisor/manager is responsible for ensuring the appropriate hours and pay codes are entered into the City’s time-keeping system. 7.0 PEOPLE & CULTURE CONTACT Benefits 8.0 APPENDIX, APPENDICES Position Types (page 432 )
