● When collaborating with other agencies, staff involved in publishing joint projects should inform the Executive Director and/or their designee(s). Even if the other agency is leading on the publicity, so that the Executive Director and/or their designee(s) can coordinate any communications if necessary, to ensure accuracy in the information provided to the media ● Presenting at events, staff are responsible for managing the reputation of GuilfordWorks, which includes delivering presentations to external organizations or stakeholders at events. If you are planning on speaking at an event you must contact your supervisor/manager and inform them of the event, key messages and materials to be presented. The Communications Coordinator can support you with your presentation to make sure that all your resources include the GuilfordWorks most recent branding. Please remember that some Google images have Copyright attached and any staff downloading images should seek advice first ● Use of photography or video ; GuilfordWorks communications team recommends that photographs or video should not be used in publicity material without consent from staff or members of the public. Any member of the public who is videoed or has their photograph taken to be used in publicity material for GuilfordWorks or to promote its services needs to sign a ‘Photo Consent’ form. Parental consent should be given for any customers and/or the general public under 16 years of age. Consent forms are available from the Communications Coordinator. If a photographer shows up at a GuilfordWorks event, staff should make sure the photographer and the Communications Coordinator and/or management are aware of anyone who does not want to be filmed/photographed ● Any incidents onsite will follow the Safety Policy protocol ● Procuring media services: The procurement of media services including media training, graphic design, photography and video or audio production should all take place through the Communications Coordinator to secure high quality, cost effective services to GuilfordWorks Media interviews will only be conducted by staff who have been media trained or have experience engaging with the media. Any staff identified for media training will be determined by the Executive Director and/or their designee(s). If your role requires you to be media trained and you have not had training please contact your manager who will submit your request to the Executive Director and/or their designee(s) for review. Workplace Safety & Emergency: GuilfordWorks - plays an important role in maintaining and ensuring employee health and safety. To this end, GuilfordWorks has established a Safety Program to provide employees with safe working conditions and promote maximum safety.

● Provides a safety training program for employees to reduce risk or accidents and/or injuries ● Administers the Workers' Compensation Program ● Provides care for employees through Medical Services There is an expectation that the GuilfordWorks be a safe work environment and that all staff promote safety efforts. Be familiar with and observe approved safe work procedures for your area.

9.3 CONFLICT RESOLUTIONS :

In the event an employee, or group of employees, has a concern regarding his/her work experience or working conditions, he/she is encouraged to try to resolve it respectfully through informal open discussion. Please use the following as a guide:
